how to do a big crop

we are wanting to do a crop for a fundraiser.. how do I go about something like this. I have never done it- and I am really interested in it.

Im lost here. What is a crop

Its when people come together and do a huge scrapbooking event for a reason. Basically, we will have vendors there, food and etc, and a small fee is paid, and people bring their scrapbooks, and ideas along with tools (sometimes tools are given by places and vendors for use) and they scrap for an amount of time (anywhere from 5-10 hours) and get ideas and use things of other's while in the company of others. Its a big thing - and we are interested in doing it- however we dont know where to start.
